Office spring cleaning  is a time to tidy up your work area and clear out the clutter before making space for new documents. Keeping that in mind, here are some office spring cleaning tips by the experts;

Declutter your Desk

It’s easy to ignore the clutter that has accumulated on your desk. It’s easy to just sort the piles into different categories and keep everything neatly filed away in their respective boxes.

Instead, you should look at the overall clutter on your desk first and then move from there.

As a remedy, keep everything in its original location, tape all paper to the walls or floor so that it doesn’t collect dust, and try not to purchase any new stationery as this can quickly become a secondary clutter source.

Throw Out Old Office Equipment

If you’ve been using the same old printer for years, it may be time to get a new one. If you’ve used your whiteboard markers on more than one occasion, they are definitely due for a replacement.

Keep your office equipment up to date so that it doesn’t become obsolete or so outdated that it’s useless. As a rule of thumb, keep most things around at least 4 years and then buy new stuff if needed.

Contain the Cords

Keep your office equipment items within an easy reach but not out in the open so that they don’t become tangled and messy.

If possible, you can also hide cords around the room so that they are only needed when needed. Also, check with your IT department to see if there are any technological ways to keep cords and wires neatly concealed away from sight.

The cords when left along with other items in the open area may be a source of workplace injuries such as tangled pile-ups or accidentally tripping over cords.

Start Using a Desktop Organizer

You can make your desk cleaner and organized by placing smaller items like pens, pencils, and erasers in an organized compartment that is easy to access.

It is also easier to get things out at the end of the day. This can be made with a game box from a card or board game as long as it’s not too bulky.

Set up a File for Easy Access

This way you can keep important documents and files in one place. It could be a small file box that is placed out of the way but is easy to access when needed.

Just keep it clean and organized. You can also include an indexing system where you can label various files with the name of the client or project it pertains to.

To make it easy for the volunteers to find wanted files and the IT staff to retrieve files that are retrieved, it is also a good idea to include a file search system within your network.

Maintain a Paperless Office

The more paper you have lying around, the more clutter you have on your desk. The clutter will actually become a distraction if it’s just too much to handle.

When you need to make a copy of an important document, place it in a file box in the office. Mobile devices can be brought into the office for copying documents or scanned and sent as attachments (s) from home via email.

For documents that need to be faxed out, use a mobile fax service instead of printing them out. Also, make sure that files are kept digitally and never in hard copies in the office.

Revamp a common space

This can be anything from making the break room a little more inviting to sprucing up the shared space or even better, making it as appealing as you can.

This will not only show your employees that you care but will also help them relax and de-stress, which is what you want when it comes to spring cleaning. This will also make the shared space a happier environment.

Always make sure not to overdo it by forgetting to take care of a few small items like window cleaning, rug cleaning, and carpet cleaning. Spring cleaning your office should be a fun and relaxing experience and should not be stressful.
